1. Introduction

FC Freedom UA is a youth soccer club. This Privacy Policy explains how we handle information associated with our website, preliminary registration inquiries and communications with parents and legal guardians.

The new website is currently a local preview. Its preliminary registration form is not connected to a submission service: information entered in that form is checked in your browser and is not sent to or saved by the club through that form. This does not describe or change information you separately provide to the club by email, an existing registration channel or official club paperwork. This policy must be reviewed and updated before online submission is enabled.

2. Information We Collect

When provided through an active club registration channel or direct communication, preliminary registration information may include:

• A player's full name and date of birth.
• Whether the player currently plays for a soccer club and, if supplied, that club's name.
• A parent's or legal guardian's full name and phone number or email address.
• The parent's or guardian's consent to processing the registration information.

Please provide only information needed for your inquiry. Do not include medical records, payment card details or sensitive documents in a preliminary inquiry.

The website remembers your English or Ukrainian language preference using browser local storage and carries that preference in internal link URLs. The current website code does not store registration field values in browser local storage and does not include advertising or analytics trackers. When the website is hosted, its hosting infrastructure may process technical information such as IP addresses, request times and browser information to deliver and protect the site. Actual providers and practices must be confirmed before launch.

3. How We Use Information

We use information parents and guardians provide to process preliminary applications, respond to inquiries, communicate with families, organize tryouts and identify potentially suitable soccer programs. We may also use necessary information to administer official registration, maintain appropriate records, protect our services and meet applicable requirements. A preliminary inquiry does not authorize unrelated marketing or public use of a child's image.

4. Children's Privacy

Registration and related inquiries must be completed by a parent or legal guardian, not by a child independently. Parents and guardians should provide only the information necessary for the club to consider the inquiry and communicate with them.

If you believe a child has independently supplied personal information through a club channel, contact us so we can review the circumstances and take appropriate steps, including deletion where appropriate and required. A checkbox alone should not be understood as a guarantee that all parental consent requirements have been met. Applicable notice and consent procedures must be established before online collection begins.

5. Information Sharing

FC Freedom UA does not sell personal information. Information may be made available to authorized club personnel who need it for registration, family communications and program organization.

Third-party providers may support website operation, application processing, record storage or communications when those services are enabled. Information should be shared only as necessary for those purposes and subject to appropriate safeguards. Information may also be disclosed when required by applicable law or reasonably necessary to protect rights, safety or security. This policy does not assert that any proposed hosting or registration integration is already connected.

6. Data Security and Retention

We aim to use reasonable administrative and technical safeguards appropriate to the information handled. No website, transmission method or storage system can be guaranteed completely secure.

Information should be retained only as needed for the purpose for which it was collected, appropriate club administration and applicable legal obligations, then deleted or de-identified as appropriate. Specific retention periods and procedures have not yet been finalized and must be approved before the new registration service launches. Some records may need to be retained to meet applicable obligations or resolve disputes.

7. Privacy Requests

A parent or legal guardian may contact us to request access to, correction of or deletion of personal information associated with their child or themselves, or to raise a concern about its use. We will consider requests in accordance with applicable requirements and may need to verify identity and parental or guardian authority before disclosing or changing records.

Do not email identity documents or unnecessary information about your child unless we have agreed on an appropriate verification process. We will explain any applicable limits on a request, such as recordkeeping obligations. You may also contact us about withdrawing consent, subject to applicable requirements and the effect on processing your inquiry.

8. Third-Party Services

Our website may link to external websites, email services, maps or registration tools. Those services have their own privacy practices, which you should review before using them. Opening an external link can disclose technical information to its provider.

Future website or application-processing services may handle information on the club's behalf. The services actually used, their purposes and relevant privacy information must be confirmed before activation. This preview does not send its registration entries to a third-party processing service.

9. Changes to This Policy

We may revise this policy as website functionality, club practices or applicable requirements change. Updates will be posted here with an effective date once approved. Where required, we will provide additional notice or obtain appropriate consent before introducing materially different uses of personal information.
